Real Estate & Short-lets

Property businesses run on enquiries, viewings and agreements — and on the customer communication around them. When these live in agents' personal phones and chat threads, the agency loses visibility the moment an agent is busy or leaves.

Inbound

Where customer demand gets lost

Listing enquiries repeat the same questions — price, location, availability, inspection dates — across WhatsApp, Instagram and phone calls. Slow or inconsistent replies lose prospects to the next listing they see.

Viewings get arranged informally; no-shows are common because confirmation and reminder processes are manual or absent.

Operations

Where internal work becomes invisible

For short-lets, bookings, payments, check-in instructions and cleaning turnaround need coordination; a spreadsheet and a WhatsApp group hold this together until they don't.

For agencies, which prospect saw which property, who followed up, and what stage each negotiation is at, is knowledge trapped in individual agents' heads and phones.

A suitable system

What we would build — and how it flows

  • Property or listing enquiry capture into a shared record
  • Viewing and inspection scheduling with confirmations and reminders
  • Prospect records: what they asked for, what they saw, who is following up
  • Short-let booking records with payment status and check-in communication
  • Status tracking across enquiry, viewing, negotiation and agreement stages
  • Simple reporting: enquiries per listing, viewing attendance, deal stages

  2. Prospect record
  3. Viewing booked
  4. Reminder sent
  5. Follow-up

  7. Agreement / check-in

Honest limits

Assumptions, dependencies and what we will not claim

  • Short-let platforms (booking marketplaces) have their own rules and interfaces; direct-booking systems complement, not replace, marketplace obligations
  • We do not build systems to circumvent platform terms of service
  • Tenant and buyer data is handled with minimisation and access control; sensitive identity documents should not be stored casually, and we will scope what is genuinely needed

Pattern, not prescription

The problems and workflows above are patterns to investigate during discovery — not defects every business in this sector necessarily has. Your project starts from your actual process.

Questions

Frequently asked

Can this work alongside our existing listing platforms?
Yes. The system can serve as the shared record for enquiries and viewings regardless of where the listing appears, with links and processes respecting each platform's terms.

Running a real estate & short-lets business with one of these problems?

Describe your workflow in a free fit assessment. We will tell you honestly whether a system is the right response — and if so, what the smallest useful version looks like.
