Clinics & Private Healthcare

Clinics and private practices need reliable administrative workflows: appointment enquiries answered promptly, schedules that hold, reminders that reduce no-shows, and patient communication that is clear and respectful. We build these administrative systems — and we are explicit about what we do not build.

Inbound

Where customer demand gets lost

Appointment requests arrive by phone, WhatsApp and walk-in; without a shared schedule view, front-desk staff juggle overlapping requests and patients wait for replies.

No-shows and late cancellations waste clinical time when reminders are manual.

Operations

Where internal work becomes invisible

Which clinician is free when, which slots are held, which patients were reminded — this coordination usually lives in a paper book or one person's memory.

Follow-up after visits (test results ready, review appointments) is easily dropped.

A suitable system

What we would build — and how it flows

  • Appointment enquiry capture and scheduling workflows
  • Clinician availability and slot management
  • Confirmations and reminders through the channels patients actually use
  • Rescheduling and cancellation processes
  • Follow-up prompts for reviews and result collection
  • Administrative reporting: bookings, attendance, no-show reasons
  1. Appointment enquiry
  2. Slot confirmed
  3. Confirmation sent
  4. Reminder sent
  5. Visit recorded
  6. Follow-up scheduled

Honest limits

Assumptions, dependencies and what we will not claim

  • We build administrative systems only. This is not certified clinical software, not an electronic health record system, and we make no regulatory or compliance certification claims
  • Sensitive personal data is minimised by design: scheduling needs a name, contact and appointment type — not diagnoses or medical history
  • No real patient data is ever used in our demonstrations
  • Where a project genuinely requires clinical-grade capabilities or compliance assurances beyond our competence, we decline or refer it
  • Data-protection obligations for health information are significant; practices should obtain qualified advice, and we support minimisation and access control

Pattern, not prescription

The problems and workflows above are patterns to investigate during discovery — not defects every business in this sector necessarily has. Your project starts from your actual process.

Questions

Frequently asked

Is this a medical records system?
No. We deliberately keep clinical information out of scope. The system handles appointments, communication and administrative records so clinical staff can spend their time on care.

Running a clinics & private healthcare business with one of these problems?

Describe your workflow in a free fit assessment. We will tell you honestly whether a system is the right response — and if so, what the smallest useful version looks like.
